Taking orders offline: field sales in low-coverage areas

Designing sales apps that keep working when the network does not.

By iNova team2 min read

A sales rep standing in a shop in an area with weak coverage cannot wait for a page to load. If the app needs a connection to take an order, the order goes on paper, or does not happen at all. Field sales software for East Africa has to treat offline as normal, not as an error.

Design for offline first

An offline-first app keeps the data a rep needs on the phone and saves every action locally first. When a connection is available, it syncs in the background. The rep never has to think about it.

What must work without a connection

  • Customer list and route: today's planned visits, with outlet details and history.
  • Price lists and promotions: the right price for each customer, even offline.
  • Stock on the van: for van sales, what the rep is carrying, updated with every sale.
  • Orders and invoices: created, saved and printable or shareable on the spot.
  • Receipts: cash and mobile money collections recorded against the customer.

Syncing safely

The hard part of offline is what happens when the phone reconnects. A good design makes sure nothing is lost or duplicated:

  1. Every record gets a unique ID on the phone, so the same order is never created twice.
  2. Changes are queued and sent in order, and retried automatically if the network drops mid-sync.
  3. The rep can see clearly what is waiting to sync and when the last sync succeeded.
  4. Conflicts, such as a price change while the rep was offline, follow clear rules agreed with the business.

Keep it light

Sync only what each rep needs, such as their route, customers and price lists, not the whole database. Smaller syncs finish on weak connections and save the rep's data bundle.

Visibility for managers

Offline does not have to mean invisible. Each visit is stamped with time and GPS position when it happens, and arrives with the next sync. Managers see visits, orders and collections as soon as reps reconnect, and can spot routes that need attention.

Test where your reps actually work

Test the app on the phones your reps really use, on the routes they actually drive. An app that works perfectly on office Wi-Fi can behave very differently on a weak signal in a rural market.

iNova SalesForce is built to work offline and sync when reps are back in coverage. See iNova SalesForce.
